Procurement - Senior Business Support Specialist
About the Role
We're seeking a talented Senior Business Support Specialist (Procurement) to join our Spain team! You'll closely collaborate with our procurement team in the Netherlands and/or China HQ. This role primarily focuses on procurement and sourcing of services, requiring expertise in company procurement processes, management of suppliers and contracts, ordering and delivery management, payment oversight, and report preparation. As a key player, you'll excel in cross-departmental collaboration and budget management, ensuring our purchasing strategies align with company goals. Key Responsibilities:
Procurement
1. Adhere to Company Procurement Processes:
- Familiarize with and ensure adherence to company procurement policies and regulations.
- Assist in developing and updating procurement processes to enhance efficiency and standardization.
2. Management of Suppliers and Contracts within the System:
- Create, manage, and maintain qualified supplier information within the company's procurement system.
- Review and manage supplier contracts to ensure compliance with company requirements.
3. Ordering and Delivery Management:
- Create accurate purchase orders within the procurement system and ensure timely delivery coordination with suppliers.
4. Payment Management:
- Monitor the payment status of purchase orders and coordinate with the finance department to resolve payment-related issues.
5. Report Preparation:
- Collect, organize, and analyze procurement data to prepare monthly, quarterly, and annual procurement reports.
- Provide decision support and recommendations to management based on procurement data and trends.
6. Information System Implementation:
- Lead and coordinate the implementation of information systems, ensuring all procurement activities are conducted within the system.
- Assist team members in adapting to system operations.
7. Cross-border Procurement Support:
- Provide procurement support across European countries, coordinating procurement activities and ensuring compliance with local regulations.
8. Continuous Improvement and Learning:
- Participate in continuous improvement of procurement processes and systems.
- Continuously update procurement knowledge and skills to adapt to changing market and technological environments.
Sourcing
1. Support and Collaboration with Internal Departments:
- Identify resource development opportunities for internal departments and provide support based on market demands and customer feedback.
- Collaborate with internal teams to understand product requirements and guide the execution of resource development projects.
2. Project Planning and Execution:
- Develop detailed plans for resource development projects, coordinate with cross-functional teams, and monitor project progress to mitigate risks or delays.
3. Supplier Identification and Qualification:
- Identify potential suppliers, evaluate and qualify them based on quality, reliability, cost-effectiveness, and regulatory compliance.
- Negotiate contracts and agreements with selected suppliers to ensure favorable terms and conditions.
4. Support and Coordination for Procurement Engineers:
- Provide support and assistance to procurement engineers and teams, ensuring smooth execution and progress of resource development projects.
5. Quality Assurance and Compliance:
- Establish quality standards and specifications for resources, conduct regular quality checks, and address any non-conformities promptly.
6. Budget Management and Cost Control:
- Develop and manage budgets for resource development projects, monitor expenditures, and implement cost-saving measures.
7. Timeliness and Digitization:
- Emphasize adherence to project schedules, support system launches, ensure integration with information systems, and implement effective project management strategies.
8. Continuous Improvement and Digitization:
- Identify opportunities for process optimization and efficiency improvement, implement best practices, and foster a culture of continuous improvement within the team.
9. Collaboration and Communication:
- Collaborate closely with cross-functional teams and effectively communicate with internal and external stakeholders to ensure consistency and synergy in resource development work.
10. Documentation and Reporting:
- Maintain accurate records and documentation related to resource development activities and prepare comprehensive reports for management summarizing project progress and key milestones.
Qualifications:
- Bachelor's degree in Business Administration, Supply Chain Management, or related field (Master's degree preferred).
- Fluent English. Local European language and Chinese language is a plus.
- Proven experience in procurement and sourcing roles, preferably in a multinational environment.
- Strong knowledge of procurement processes, contract management, and supplier relationship management.
- Experience with implementing and managing procurement information systems (e.g., SAP).
- Excellent analytical and problem-solving skills with the ability to analyze procurement data and trends.
- Strong communication, negotiation, and interpersonal skills.
- Ability to manage multiple projects simultaneously and prioritize tasks effectively.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Certification in procurement (e.g., CIPS) is a plus.
