Internal Fleet Coordinator
About the role:
The Internal Fleet Coordinator is responsible for managing the day-to-day administration of the company’s vehicle fleet and employee benefit schemes, including salary sacrifice programs. This role ensures efficient vehicle allocation, compliance with fleet policies, and accurate benefits processing, while serving as a key point of contact for employees and external providers. The role also oversees the in-fleet and de-fleet processes for vehicles from the entire internal BYD UK fleet, ensuring smooth transitions and proper documentation.
Key Responsibilities:
Company Vehicle Administration:
Manage the allocation, delivery, and return (de-fleet) of company vehicles.
Maintain accurate vehicle records, including registration, damage inspection, insurance, and servicing history.
Ensure that the handover of company cars, pool cars, and salary sacrifice vehicles is conducted in a clean and presentable condition, with adequate charge levels as per company policy.
Salary Sacrifice Vehicle Scheme:
Administer the company’s salary sacrifice scheme for vehicles.
Guide employees through the application and onboarding process.
Ensure accurate payroll deductions and compliance with HMRC guidelines.
Manage the allocation, delivery, and return (de-fleet) of Sal Sac vehicles.
Act as the point of contact for vehicle-related queries and benefit program assistance.
Communicate benefit options and assist employees in understanding their entitlements.
Policy Compliance:
Ensure adherence to company vehicle policies, including driver eligibility, usage, and maintenance requirements.
Monitor and enforce compliance with legal, tax, and insurance obligations.
Supplier & Lease Management:
Liaise with vehicle leasing companies, dealerships, and insurance providers.
Manage contract renewals and end-of-lease processes.
Cost Control & Reporting:
Track fleet costs (leasing, maintenance, fuel, insurance) and prepare reports for management.
Identify cost-saving opportunities and support budgeting efforts.
Vehicle Replacement and De-fleeting:
Coordinate de-fleet & In-fleet processes, including inspection, damage assessment, and resale or return.
Organize timely replacement of vehicles in line with policy and operational needs.
System and Data Management:
Maintain employee benefit records in HR systems (e.g., Breathe, Helios).
Ensure data accuracy and confidentiality in line with GDPR and internal policies.
Process Improvement:
Review and improve fleet and benefit administration processes.
Collaborate with HR, Finance, and Operations to enhance efficiency and employee experience.
