Your Mission
The Procurement Assistant supports the end-to-end procurement process for indirect materials and services essential to company operations, including office supplies, IT hardware/software, maintenance services marketing events, utilities, travel, and other support services. This role focuses on procurement system operations, process execution, and administrative support to ensure efficient and compliant purchasing activities.
What You’ll Be Doing
Procurement Operations & System Execution
Set up procurement projects in the SRM system, conduct supplier evaluation and selection through the platform, and convert approved outcomes into purchase orders (POs), ensuring end-to-end system compliance and data integrity.
Support sourcing activities, including RFQ issuance, quotation collection, and bid comparison.
Assist in supplier onboarding and maintenance within the Supplier Relationship Management (SRM) system.
Handle system-related issues such as PO discrepancies, invoice mismatches, and delivery follow-ups.
Coordination & Support
Work closely with internal stakeholders to understand their procurement needs and assist in preparing procurement plans.
Coordinate with suppliers for routine order fulfilment, delivery tracking, and basic issue resolution.
Maintain accurate procurement records and documentation for audit and reporting purposes.
Process Compliance & Data Management
Ensure compliance with company procurement policies and procedures.
Support data collection and reporting on procurement KPIs, such as cost performance and delivery punctuality.
Assist in preparing reports, spreadsheets, and presentations for management reviews.
What You Bring
Bachelor’s degree in Business Administration, Supply Chain Management, Industrial Engineering, or a related field (or equivalent experience).
Minimum 2 years’ experience in procurement, supply chain, order management, or a similar administrative/support role.
Hands-on experience with SAP (e.g., PO creation and management) is essential.
Experience with SRM or other supplier management platforms is a plus.
Proficiency in Microsoft Office, especially Excel (pivot tables, VLOOKUP, data analysis).
Strong attention to detail and accuracy in data entry and system operations.
Good organizational skills with the ability to manage multiple tasks and priorities.
Team player with basic communication skills to coordinate with internal teams and suppliers.
Basic understanding of procurement processes and compliance requirements.
Fluent in English (written and spoken).
Spanish language skills are a plus but not mandatory.
