Office Assistant
Job Overview
The Office Assistant plays a key role in supporting the smooth day-to-day running of the office, working closely with the Office Manager and different internal teams. The role helps ensure an organized, efficient, and welcoming workplace by supporting operational activities and facilitating coordination between colleagues, visitors, and external partners. This position requires a proactive approach, strong organizational skills, and attention to detail.
Key Responsibilities
Supports the Office Manager in the daily administration, set-up and smooth operations of the office.
Provide support to the Italian Team when required.
Maintains a clear overview of ongoing activities and promptly signals potential obstacles or operational issues to the Office Manager.
Welcomes visitors and external stakeholders, acting as the first point of contact for guests, partners and service providers, ensuring a professional and friendly reception.
Supports the booking and coordination of meeting rooms and assists in preparing meeting spaces, ensuring rooms are properly arranged and equipped for internal and external meetings.
Assists in organizing internal meetings and events together with other departments, including preparing agendas, supporting calendar coordination and gathering relevant information.
Supports internal communication activities, including assisting with internal presentations and sharing news and events.
Assists in coordinating office lunches, social events and special occasions (birthdays, anniversaries, team gatherings, etc.).
Supports in ensuring the office environment remains tidy, organized and fully operational.
Assists with monitoring office supplies, stock and consumable materials, ensuring items are replenished when needed.
Supports the coordination with tenants, suppliers and service providers related to office operations and facilities.
Assist with onboarding and offboarding of staff members.
Supports colleagues with various operational questions and requests.
Assists with postal and courier services (incoming and outgoing) and related equipment.
Provides support with office configuration activities when required, including arranging meeting areas, relocating furniture or organizing office spaces.
Requirements
3-5 years of relevant experience.
Excellent verbal and written communication skills in Italian and English, Chinese is a plus.
Excellent knowledge of Microsoft Suite, good skills with power point.
Knowledge of modern archiving and documentation methods.
Highly motivated and confident with a high level of accuracy.
Able to multi-task, aim to target.
