Parts Ordering Specialist
About the role
We are looking for Parts Ordering Specialist is responsible for analysing stock and demand data, placing accurate orders with suppliers, and ensuring timely receipt of parts into the warehouse. The role ensures consistent availability of parts to support customer and dealer requirements, while maintaining compliance with company processes and KPIs.
Location: Uxbridge, London area (Office-based)
Tasks & Typical duties/responsibilities may include, but are not limited to, the following:
- Analyse demand, stock levels, and usage trends to determine required order quantities.
- Review backorders and urgent requirements to prioritise ordering.
- Support stock planning in line with A/B/C/D part categorisation and months-of-cover policies.
- Raise and manage purchase orders with UK, EU, and global suppliers.
- Monitor lead times, delivery schedules, and order status.
- Ensure all orders are accurately recorded in the DMS/SAP/WMS systems.
- Confirm receipt of goods in the SAP against purchase orders.
- Investigate and resolve discrepancies in quantity, pricing, or documentation.
- Liaise with warehouse and logistics partners to ensure smooth inbound flow.
- Provide regular reports on order status, fulfilment, and supplier performance.
- Maintain accurate backorder ETA reporting in the BYD system, ensuring timely updates to reflect supplier and logistics changes.
- Ensure data accuracy for invoices and financial reconciliation.
- Support continuous improvement initiatives to streamline ordering processes.
Skills and requirements:
- 2-3 year experience of working within a parts department or as a procurement specialist or in a similar position (purchasing, order processing, procurement);
- Experience of dealing with customers and handling complaints;
- Previous vehicle parts stock control experience;
- Good telephone answering/interpersonal skills;
- Ability to work under pressure, prioritise duties and motivate others;
- Excellent knowledge of Microsoft office, understanding of SAP and WMS (warehouse management system) is a plus;
- Chinese speaking is beneficial;
- Has right-to-work in the UK.
