About General Manager Office (EU)
We are in charge of the office maintenance, administration and daily operation of our office in the Netherlands, also providing guidance and support to our branch offices all over Europe. About the role:
· The Fleet Coordinator is responsible for inspection, registration, and operational management (Maintenance & repairs, access control, and availability planning) of the BYD fleet vehicles.
· Fleet Coordinator will serve as the primary contact concerning the vehicle fleet and operations. Fleet Coordinator will need to ensure the BYD vehicle is safe to have on the road.
Main duties and responsibilities:
Manage the company car fleet, including handover and return of car keys, mileage logbooks, insurance documents, and fuel/charging cards; support insurance claims and related administrative tasks.
Proactively collaborate with project management, logistics, sales, and marketing teams on vehicle delivery, transportation, and demo planning.
Inspect vehicles upon receipt and return, ensuring condition is accurately recorded and reported; arrange repairs when necessary.
Support RDW or other relevant authorities with general or type approval inspections.
Prepare required documentation (e.g., BPM declarations) for vehicle registration.
Arrange license plates, insurance, and charging/fuel cards to ensure vehicles are ready for operation.
Develop and manage service partners for car wash, periodic maintenance, defect repairs, and damage handling in coordination with after-sales teams.
Maintain and regularly update the fleet vehicle database in the Netherlands, ensuring accuracy and completeness of records.
Monitor and manage fleet-related costs, including maintenance, repairs, and vehicle usage expenses.
Review and verify invoices related to fleet operations, ensuring accuracy and compliance with company policies.
Prepare monthly reports on fleet performance, operational status, and cost analysis.
Oversee and consolidate fleet data from other European countries, ensuring consistency and alignment with regional standards.
Working as the urgent contact for traffic accident or urgent support whenever necessary.
Perform other tasks as assigned by the manager.
Profile:
Proven experience in fleet management, vehicle operations, or a similar role, with a good understanding of fleet processes and administration.
Strong organizational and analytical skills, with the ability to manage data, costs, and reporting accurately.
Experience with cost control, invoice verification, and budget tracking is an advantage.
Fluent in spoken and written English; additional European language(s) are a plus.
Valid driving license (Dutch Rijbewijs B or higher) with confident driving skills.
Proactive, hands-on, and solution-oriented mindset with a strong sense of ownership.
Team player with the ability to collaborate effectively across departments and international teams.
Strong attention to detail and high level of accuracy in administrative and reporting tasks.
Ability to prioritize workload, manage multiple stakeholders, and handle a variety of tasks in a dynamic environment.
Good working knowledge of Microsoft Office, especially Excel (data tracking and reporting).
