About General Manager Office (EU)
We are in charge of the office maintenance, administration and daily operation of our office in Netherlands, providing guidance and support to our branch offices all over Europe. About the role:
The Fleet Coordinator is responsible for inspection, registration, and operational management (maintenance & repairs, access control, and availability planning) of the BYD fleet vehicles.
Fleet Coordinator will serve as the primary contact concerning the vehicle fleet and operations.
Fleet Coordinator will need to ensure the BYD vehicle is safe to have on the road.
Main duties and responsibilities:
Vehicle Registration & Compliance Management: responsible for RDW vehicle registration, BPM tax declaration, insurance management, Toll system entry, traffic fine processing, APK/MOT annual inspection coordination, vehicle file and contract management, and Shell fuel card administration, ensuring full-lifecycle compliance.
Employee Vehicle Management: responsible for the configuration, assignment, replacement coordination, and daily usage management of company cars for employees.
Pool Car Operations Management: responsible for Pool Car scheduling, allocation and handover, return inspection, charging follow-up, and availability monitoring to ensure efficient operation of business vehicles.
Full Vehicle Lifecycle Management: covers new vehicle reception and registration, used vehicle sales assessment, vehicle decommissioning and deregistration, accident and damage reporting, and repair coordination; collaborates with Project, Logistics, Sales, and Marketing teams on vehicle delivery and demo planning.
Reporting & Cost Management: prepares cost reports, tracks fuel, maintenance, and toll expenses, analyzes mileage utilization and vehicle age, maintains the fleet database, and provides monthly reports and data support to management.
Emergency & Incident Response: provides immediate support in the event of traffic accidents or urgent situations.
System & Process Optimization: drives the enhancement of the vehicle management system, continuously optimizes workflows, and writes/updates user manuals.
Profile:
Proven experience in fleet management, vehicle operations, or a similar role, with a good understanding of fleet processes and administration.
Strong organizational and analytical skills, with the ability to manage data, costs, and reporting accurately.
Experience with cost control, invoice verification, and budget tracking is an advantage.
Fluent in spoken and written English and Dutch; additional European language(s) are a plus.
Valid driving license (Dutch Rijbewijs B or higher) with confident driving skills.
Proactive, hands-on, and solution-oriented mindset with a strong sense of ownership.
Team player with the ability to collaborate effectively across departments and international teams.
Strong attention to detail and high level of accuracy in administrative and reporting tasks.
Ability to prioritize workload, manage multiple stakeholders, and handle a variety of tasks in a dynamic environment.
Good working knowledge of Microsoft Office, especially Excel (data tracking and reporting).
