Your mission
As office operations Specialist at BYD Iberia, your mission is to ensure the smooth day-to-day operations of the Madrid office, providing administrative, logistical, and organizational support to local teams and management. This role acts as the main point of contact for employees regarding office operations and general support, ensuring efficiency, compliance, and a high level of professionalism in all office-related matters.
What you’ll do
Office and Administrative Management
- Manage and Oversee general office operations, including maintenance, supplies, service providers, internal tools and related contracts.
- Manage the office budget (utilities, supplies, cleaning, maintenance, etc.).
- Handle reception duties, mail, and courier services.
- Maintain proper filing systems (physical and digital) for administrative and corporate documents.
- Coordinate internal meetings, company events, and visits from international teams.
Executive and Team Support
- Provide administrative assistance to the Country Manager and leadership team (calendar management, travel, expenses, meeting coordination) together with the executive assistant.
- Be the contact person to the local travel agencies, and prepare corporate travel policy.
- Support internal and external meeting coordination and logistics.
HR and Compliance Support
- Assist the HR department with administrative work, if it needed.
Culture and Communication
- Foster a positive, safe, and sustainable workplace aligned with BYD’s values.
- Support wellbeing, sustainability, and corporate social responsibility initiatives.
- Support team building and other internal activities and events.
What You Bring
- University degree in Administration, Business, Human Resources, or a related field.
- Minimum 3 years of experience as an Office Manager, Executive Assistant, or similar administrative role.
- Experience in multinational environments or within the automotive/energy industry is a plus.
- Strong organizational skills, attention to detail, and ability to work independently.
- Excellent communication and interpersonal skills.
- Problem-solving mindset and service orientation.
- Advanced level of English is a must;
- Proficient in MS Office and collaboration tools (Teams, SharePoint, etc.).
