Your mission
As Administrative Coordinator – RAC & Remarketing at BYD Iberia, you will act as the key liaison between our Rent a Car (RAC) clients, remarketing partners, dealers, and internal departments. You will ensure smooth administrative coordination, efficient process management, and seamless communication across teams such as Finance, Procurement, After Sales, Legal, and Marketing.
Your role is essential in guaranteeing the proper execution of commercial agreements, accurate tracking of sales planning (RAC, remarketing, and company cars), and maintaining the highest service standards for our partners, while supporting the management of BYD Iberia’s internal fleet.
What You’ll Be Doing
Client, Dealer & Partner Coordination
Act as the primary contact point for RAC (Rent a Car) clients, remarketing partners, and dealers, ensuring efficient and timely administrative coordination.
Support communication with external providers, dealerships, and internal stakeholders to ensure alignment on commercial and operational processes.
Assist in the resolution of administrative or operational issues raised by clients, dealers, or internal teams.
Administrative & Contract Management
Prepare, review, and process documentation related to client and dealer contracts, orders, vehicle deliveries, and remarketing agreements.
Maintain and update records, agreements, and reports in internal systems, ensuring data accuracy and traceability.
Supervise the administrative management of the department, ensuring compliance with company policies and internal procedures.
Cross-Departmental Coordination
Liaise with Legal, Finance, Procurement, After Sales, and Marketing teams to align internal processes and ensure regulatory and policy compliance.
Coordinate with Purchasing and Finance on vehicle allocation, invoicing, budgeting, and cost control related to RAC, remarketing, and internal fleet.
Sales Planning, Remarketing & Fleet Support
Support the preparation and follow-up of sales and delivery plans for RAC, remarketing, and company cars, ensuring accurate data and timely execution.
Monitor the planning and performance of remarketing sales activities in coordination with dealers and commercial teams.
Provide administrative and operational support for the management of the internal fleet (company cars), including tracking, documentation, and reporting.
Operational & Logistical Support
Support vehicle allocation, logistics, and documentation flow across RAC, remarketing, and internal fleet operations.
Monitor internal tools and systems to ensure data accuracy, process traceability, and reporting reliability.
Reporting & Process Optimization
Prepare performance, planning, and operational reports for management and partners.
Support internal process improvement initiatives to enhance efficiency, transparency, and client/dealer satisfaction.
What You Bring
Degree in Business Administration, Law, or a related field.
2–5 years of experience in an administrative, coordination, or operations role, ideally within the automotive, Rent a Car, fleet management, dealer company.
Advanced English (B2–C1 level).
Strong attention to detail and high level of accuracy.
Excellent organizational and communication skills.
Analytical profile with the ability to manage multiple tasks and coordinate cross-functional processes.
Proficiency in Microsoft Office and internal business systems/tools.
High level of commitment, autonomy, and problem-solving attitude.
